Imprints and teams

An imprint is the Publisher plan's workspace, several pen names and people in one place with roles (owner, editor, marketer, analyst). It invites an existing author's pen name; the author accepts from Settings, Teams, keeps ownership of the pen and its public page, and can leave with one click. Members run campaigns on behalf of a pen, every action is in the imprint's audit trail, and nobody but the reader path ever downloads a campaign's file. A Publisher account uses the same support as everyone.
The short answer
Two ways to work together
- A team on a pen name: the owner of a pen name invites another Booklabria account, by username, to work on that one pen name in Studio. It is built today and described in Working with a team on a pen name. On the Pro plan a pen name can have two collaborators; Author and Creator have none (the owner is not a seat).
- An imprint: the Publisher plan's workspace, for a small press, a publishing house or an author with several pen names and people. One imprint holds several pen names and several people, each with a role, and the plan's allowances (unlimited pen names, books, campaigns and approvals) belong to the imprint rather than to one person.
What an imprint is
An imprint has a name, an address and a tagline, and is created from Studio › Imprint by the author who becomes its owner; it gets its own billing account the moment it exists. Studio › Imprint shows the imprint's whole catalog, its campaigns and its reach across pen names (aggregate figures, never a reader's identity), and the pen switcher in Studio lists the imprint's pen names after your own and your teams'. An imprint may also have a public page at /imprints/your-address, switched on by its owner from Studio › Imprint › Settings, with its name, tagline and the pen names and published books under it; until the owner switches it on there is nothing public about the imprint.
Roles
Every member has one of four roles. Only the owner buys the plan, sees invoices and opens the billing portal.

Members are invited by username from Studio › Imprint › Members, accept from their own Settings › Teams › Imprints, and can have their role changed or be removed by the owner at any time (a member may also leave); a removed member loses access straight away and nothing they made is deleted. An analyst's Studio opens on the imprint's pages alone. Nobody shares a password: each person signs in as themselves, and what they do is done under their own name.
Bringing an author's pen name in
An imprint does not take a pen name; it invites one.
- From Studio › Imprint › Pen names, the owner invites an existing author's pen name by its address; the invitation can be withdrawn until it is answered.
- The author sees the invitation under Settings › Teams › Imprints and accepts or declines.
- Once accepted, the pen name is under the imprint: editors and marketers can work on it in Studio, and its books, campaigns and analytics appear in the imprint's overview.
The author keeps ownership: the pen name, its author page, its followers and its books stay theirs, the page never changes hands, and the author can leave the imprint from the same Settings screen with one click and a confirmation. After leaving (or when the owner releases the pen), the imprint's members lose access to that pen name; nothing that was published is touched. The plan's pen-name allowance counts the pens under the imprint; when it is full, the invitation is refused in a sentence that names it.
Campaigns run on behalf of a pen name
An editor can start and run an ARC campaign for any pen name in the imprint: the campaign is the pen name's, readers see the pen name, and the campaign records who created it; pausing, resuming or ending it on behalf of the pen writes a line in the trail naming the person. Approvals count against the imprint's allowance. A campaign's protected file is never downloadable by an imprint member, whatever their role; the only way to a book delivered as an ARC is the reader's own, as an approved reader (ARC delivery and tracking).
The audit trail
Studio › Imprint › Activity lists what was done in the imprint's name: a member added, removed or given a new role; a pen name joining or leaving; a campaign run on behalf of a pen name; each with who did it and when. It is written by the product, not by hand, and cannot be edited.
Support
A Publisher account uses the help everyone uses: this help center, Booklabria AI, and a message to a person from the contact page. There is no separate support line for imprints, and no faster queue; account and safety matters go first for everybody.
Plan and billing
The imprint is bought by its owner (a Publisher subscription on the imprint's account, not on a person): with billing open, the Pricing page sends a signed-in author to create the imprint first and its owner to checkout, and Settings › Billing shows the imprint as its own subject beside the owner's personal plan, with the same 14-day trial, the same grace after a failed payment, and the same rule that nothing is deleted when a plan lapses. Authors have four plans, Author (free), Creator, Pro and Publisher, with founding prices and real allowances (pen names 1, 1, 5, unlimited; books 3 and 1 series on Author, then unlimited; campaigns 1, 3, unlimited; ARC approvals 25, 300, 2,000 a month; collaborators 0, 0, 2, the imprint). Only the owner can invite, remove or change roles; team members can never rename or delete the pen name or see billing.
- Pen names: creating, switching, the primary one, archiving: An author account can publish under more than one pen name on the Pro plan (up to five) and on Publisher (unlimited across the imprint); Author and Creator have one. Studio, Pen names lists them, creates one with a name, address, bio and avatar, sets the primary, and archives one; the pen switcher in Studio's header moves you between them. Archiving keeps that pen's published books public; the limit is stated in a sentence with the plan that lifts it.
- Running an ARC campaign: Studio, Campaigns, New campaign walks through the book, dates and reader spots, ideal readers (genres, tropes, languages, regions, requirements), delivery (formats, files, your message) and how to launch (draft, scheduled, or now). Applications gather under Applications with each reader's match and reliability; approve or decline one by one or in batches, and every decision notifies the reader.
- ARC delivery and tracking: You choose per campaign how readers receive the book: Read on Booklabria (the file stays on the server, readers open it on the site or in the app, and the Reading tab shows progress by chapter, who finished and where readers stop, as counts) or Download a protected copy (signed links that expire after fifteen minutes, five downloads per approval, every EPUB watermarked). Upload the EPUB or PDF on the Delivery tab; reading on Booklabria needs the EPUB. The Activity tab notes approvals, downloads and reviews as they happen; the analytics funnel shows how many downloads became reviews.
